CSU Pueblo Digital Repository Policy

The Colorado State University Pueblo Digital Repository is a campus service and resource designed to preserve and disseminate in digital form the scholarly capital and output of CSU entities, academic staff and students.

Purpose

The Colorado State University Pueblo Digital Repository will reflect the University's excellence, support the rapid dissemination of research, foster at all levels understanding and appreciation of the value of research, learning, and teaching at CSU Pueblo, and ensure future, persistent, and reliable access to intellectual assets.

The repository complements traditional means of scholarly communication, such as peer-reviewed journals, by expanding the readership and availability of scholarly research and facilitating self-archiving.

Content Scope

The repository aims to capture emerging unpublished scholarship and creative works of CSU Pueblo authors/creators and to preserve and disseminate previously published works in a manner consistent with copyright law.

Author/creator submissions to the digital repository may include works including but not limited to conference papers and presentations, working papers, white papers, technical reports, approved student research, musical compositions, art, performances, books, and journal articles.

In addition to the works of individual CSU Pueblo authors/creators, the repository hosts select archival materials, generated by CSU Pueblo entities such as colleges and departments, that document the history and intellectual life of CSU Pueblo. The repository also contains digital collections created from the Library's archival holdings to support teaching and research.

Guidelines for CSU Pueblo Authors & Creators

Authorship/Creation

• Included works/creations will usually be authored/created, in part or whole, by a CSU Pueblo faculty or staff member, student, or other campus entity. Content does not have to be authored by a CSU Pueblo affiliate. For example, a campus unit may use the repository to post papers from a conference it sponsors, which includes authors from CSU Pueblo and other institutions or organizations.
• All student theses will be accepted for deposit, as the University Library is the official archive for these documents. Other student works must be sponsored by a CSU Pueblo faculty or staff member who deems the work suitable for long term preservation and access through the digital repository.

Author/Creator Rights

• The author(s)/creator(s) should be prepared to grant to CSU Pueblo the non-exclusive right to preserve and disseminate the work according to the terms of the CSU Pueblo Digital Repository Deposit Agreement.
• The author(s)/creator(s) should be prepared to confirm that any existing agreements related to the work, such as publication agreements previously completed with journal publishers, are not in conflict with preservation and dissemination of the work through the CSU-Pueblo Digital Repository. Nature of the Work

• The work should be scholarly, educational, and/or research-based and merit long term preservation and dissemination.
• The work must be submitted in an approved digital file format (see below).
• If the work is part of a series, other works in that series should also be submitted. Alternately, information identifying the series should be submitted in order that the larger context of the work is not lost.

The CSU Pueblo Digital Repository is committed to providing long-term access to all deposited content by applying best practices for data management and digital preservation, while acknowledging the complexities involved in preserving digital information.

Accessibility of the Work

• Submitted works should reflect a good faith effort to meet web accessibility guidelines.
• The Library reserves the right to modify the formatting of the work within the file to the extent necessary to meet these guidelines and best practices.

Access Options

The CSU Pueblo Digital Repository is intended to expand the scope of scholarly resources available worldwide through the Internet. By default, all works submitted to the digital repository will be made openly accessible, with the following exceptions:

• When blocked on a time-limited basis (up to a maximum of one year) with the understanding that access thereafter becomes unlimited.
• When contract with sponsor prohibits disclosure for a fixed time limit.

Withdrawal of Works/Creations

It is foreseeable that there may be circumstances under which it will be desirable to withdraw works/creations from view.

Author/Creator Rights

Authors/creators retain the right to request the withdrawal of their work from the CSU Pueblo Digital Repository.

CSU Pueblo Rights

The CSU Pueblo Library reserves the right to withdraw works/creations from the CSU Pueblo Digital Repository.

The CSU Pueblo Library will make a good faith effort to notify the CSU Pueblo affiliated first author/first creator before withdrawing the work/creation and will provide the reason for the withdrawal.

Process

To preserve the historical record, all such transactions will be traced and visible via a provenance statement. The content of the note should be one of the following:

The tombstone metadata for the work/creation will still be visible to those who already have its persistent URL, but neither the work/creation or its metadata will be searchable or available for harvesting by services such as Google.
