Staff Support & Volunteer Information
Volunteers play a vital role in ensuring the success of Commencement. Whether greeting guests, supporting graduates, or assisting operations, every role contributes to a memorable experience.
📝 Volunteer Sign-Up
Staff interested in volunteering should complete the Commencement Volunteer Form by insert date, time, and place. Role preferences and availability will be collected through the form. Confirmation emails will be sent insert date, time, and place prior to the ceremony.
🎯 Training & Orientation
A brief volunteer orientation will be held on insert date, time, and place. Training covers arrival procedures, guest support expectations, safety guidance, and emergency communication protocols.
📋 Event Day Assignments
Volunteer assignments include check-in support, ticket scanning, crowd assistance, and ADA shuttle coordination. Assignment sheets will be distributed via email prior to Commencement Day. Volunteers are expected to arrive by insert date, time, and place.
📡 Communication During Event
Two-way radios will be distributed to key team leads for coordination. Please keep communication brief and professional. Volunteers without radios should report any issues to the nearest marshal or operations lead.
🍴 Meals & Breaks
Light refreshments and snacks will be available for all volunteers in the Volunteer Check-In Area behind the stadium. Please coordinate short breaks with your team lead to ensure all areas remain covered during the event.

Roles, Shifts & Responsibilities
Faculty and staff play key roles in making Commencement a success. Please review your responsibilities and available shifts below.
🎓 Faculty Participation
Faculty members are invited to participate in the academic procession and sit in the faculty seating area on the field. Regalia may be ordered through the CSU Pueblo Bookstore.
🪶 Marshals & Ushers
Marshals lead the processional and assist with graduate seating. Ushers support guests with seating and accessibility needs. Training is provided prior to the event.
💼 Staff & Volunteer Assignments
Staff volunteers may assist with check-in, parking, or graduate support. Assignment details and shift times will be emailed prior to the event. Please check in at the designated station.
🧾 Graduate Line-Up & Check-In
Graduate support volunteers help organize students by college before the processional. Please arrive by 8:15 AM to receive instructions from your team lead.
🎤 Stage & Ceremony Coordination
The coordination team manages stage setup and speaker flow. Only authorized staff may enter the stage area. Please follow radio or headset instructions during the event.

📅 Friday, May 15 – Optional Support Shifts:
Graduate School Ceremony & Nursing Pinning
Staff may sign up to assist with graduate school or nursing ceremonies, but this will not fulfill the Saturday Commencement work requirement. Staff who do not work Saturday, May 17 must request Annual Leave, as the campus will be closed the following Monday.

Parking & Arrival Information
Faculty and staff play a key role in ensuring a smooth start to Commencement. Please review parking details and arrival expectations below.
⏰ Arrival Time
All participating faculty and staff should arrive at the ThunderBowl Stadium no later than 6:15 AM. Gates open at 8:00 AM. Early arrival ensures smooth check-in and preparation before lineup.
🧾 Check-In Location
Faculty and staff should check in at the south entrance of the stadium. Look for the Faculty & Staff Check-In Tent. Name tags and seating instructions will be provided upon arrival.
🚗 Parking Information
Free parking is available in the ThunderBowl South Lot and East Lot A for faculty & staff. ADA-accessible parking is located on the west side of the stadium. Please follow the posted signage and directions from campus safety officers.
🚌 Shuttle & Accessibility
Shuttle service will be provided from overflow lots beginning at 6:45 AM. ADA shuttles are available for individuals requiring assistance. Please allow extra time if you plan to use the shuttle system.
☀️ Weather & Attire
The ceremony will take place outdoors — rain or shine. Please dress appropriately under your academic regalia and wear comfortable shoes for walking on turf or concrete surfaces.

Processional & Ceremony Details
Faculty and staff play key roles in ensuring the ceremony runs smoothly from start to finish. Please review the processional lineup and on-field expectations below.
📋 Lineup Instructions
The faculty lineup will begin promptly at 9:15 AM near the south stadium tunnel. Marshals will assist with organizing faculty and staff in the correct order for the processional. Please remain in position once you are lined up.
🎶 Processional Start Time
The processional begins at 10:00 AM sharp. Faculty and staff will lead graduates onto the field, followed by platform party members. Please maintain a steady walking pace and follow marshal instructions.
🎓 Faculty & Staff Seating
Faculty will be seated in the reserved section to the right of the stage. Staff volunteers may be positioned throughout the stadium for operational support. Please remain seated during the ceremony unless instructed by the marshals.
📜 Ceremony Flow
The ceremony will include the national anthem, student speaker, president’s address, degree conferral, and recessional. Faculty marshals will cue each section for standing and seating throughout the program.
🚶 Recessional Instructions
After the ceremony concludes, graduates will recess first, followed by faculty and staff. Remain in your section until signaled by the marshals. Please exit toward the stadium concourse to greet families and students.
🎤 Stage Protocol
Only authorized platform party members and designated staff are permitted on stage. Please silence phones and avoid crossing behind speakers or graduates during the ceremony.
